Contracts
A contract is one reservation's rental agreement: the reservation details, the guest's answers, the document built from your template, and the signing link. Contracts appear on the dashboard when a forwarded reservation email is read or when you prepare one by hand.
The dashboard
Guest Contracts is the first page after you sign in and the Contracts item in the side navigation. Each row shows the guest, the stay dates and number of nights, the property, four marks for signing and ID progress, and two actions. Click anywhere on a row to open the contract.
Tabs
- All. Everything in the current date range.
- Needs attention. Contracts that are on hold or cancelled, any contract where an ID check was declined, and any unsigned contract whose check-in is within the next seven days or already past. The tab shows a red dot and count when there is anything in it.
- In progress. Everything else that is not signed.
- Completed. Signed contracts.
Date range and search
The date-range pill defaults to Last 90 days. You can also choose Last 30 days, Last year, or All time. A contract is in range if it was prepared in that window or its check-in falls in that window, so a booking for next December still shows up the day you prepare it.
Search matches guest name, property name, city, the stay dates, and the reservation code. Every word you type has to appear somewhere in the row. Tab counts always reflect the current range and search.
Refresh
The dashboard checks for new contracts every few seconds while the tab is open and whenever you switch back to it. When a forwarded reservation lands, a new contract pill appears next to Refresh and the list updates on its own.
The marks
Each row has two pairs of marks, Primary guest and Other guests, each with a Signed and an ID column. Hover a mark to read its meaning.
- A green check means done.
- An empty ring means not yet.
- An amber clock means an ID check is still being run.
- A red cross means an ID check was declined.
- N/A means the property does not ask for this.
When there is more than one other adult, the Other guests marks show a fraction such as 1 over 3, and turn into a green check once everyone has finished.
Row actions
- Copy link copies the guest's signing link. It is disabled once the contract is signed.
- Download PDF opens the signed agreement, or the unsigned agreement while signing is still pending. It is greyed out while the document is being built.
Prepare a contract by hand
Most contracts arrive by email. To create one yourself, tap Prepare contract on the dashboard. You need at least one property and one template first.
- Property and template. Choosing a property fills in its default template, fees, and taxes.
- Reservation details. Choose Airbnb, Vrbo or another platform and enter the confirmation code the platform issued, using letters, numbers, and dashes only. Or choose Direct booking and SignBreezy makes up a code for you, such as SB-7KQ2M9XA. Either way the code becomes part of the signing link. Enter the guest's last name. First name and dates are optional, but the dates drive the nightly rate and the check-in reminders on the dashboard.
- Occupancy. Adults and kids, optional. Guests can update these up to the property's maximum.
- Pricing. Enter either the Room subtotal for the whole stay or the Nightly rate, and the other is worked out from the number of nights. Below that are the property's usual fees and taxes. Tick Taxed on any fee that is subject to tax. Editing them here changes only this contract, and the form says so. Tap Use the property's settings to restore them, or Edit the property to change every future contract.
- Reservation charges. A live preview of what the guest will see: stay subtotal, taxed fees, the taxable subtotal, each tax, untaxed fees, and the total.
Tap Prepare and review to create the contract and open its page. A contract with the same reservation code as an existing one for the same property is refused.
Preparing a contract deducts one contract credit from your balance. The signing link is live from that moment. Sending, resending, and the guest opening the link cost nothing more.
The contract page
The header shows the guest's name, the property and stay, and a status chip:
| Chip | Meaning |
|---|---|
| Not sent yet | Prepared, and you have not sent the link from SignBreezy |
| Sent · not opened | You sent the link, and the guest has not opened it |
| Not signed · opened 2× | The guest has opened the link the number of times shown |
| Signed · waiting on other adults | The primary guest signed and other adults still owe a signature |
| Signed Oct 3, 2026 | Complete |
| Being worked on | You paused signing |
| Cancelled | You cancelled a signed contract and are redoing it |
A second chip counts how many other adults still need to sign, when that applies.
Signing link
Until the contract is signed, the Signing link card shows the guest's private link with a Copy button and a Send to guest button. SignBreezy sends by email when the guest's email is on file, and otherwise by text to their mobile number. If both are on file, a Text it instead or Email it instead link switches the channel. The line under the button tells you whether and when the link was last sent.
If there are no contact details yet, the button is disabled. Copy the link and send it yourself through Airbnb or Vrbo messaging or any other channel.
The contact details come from the guest's own answers or from what you enter on the Guest Details tab, so a contract prepared from a forwarded email usually has no email or phone until you add one.
Document tab
The card at the top shows the agreement's name, its state, the version number, when it was built, and whether the guest has opened it. View opens a preview page. Download offers:
- Contract. The agreement on its own.
- Attachments only. IDs and supporting documents, without the agreement.
- Contract and all attachments. One PDF with the agreement, every ID, every supporting file, your notes, and each other adult's signed acknowledgement.
The Built from list shows the three things the document is made of and whether each one is already in the document or has changed since it was built:
- Reservation details. Where the contract came from and the stay. Edit jumps to the Reservation Details tab.
- Guest provided details. How many of the guest's answers are in, and which ones are kept on the reservation rather than printed in the agreement.
- Template. The agreement this reservation uses. Pick a different template from the dropdown to rebuild the document from it. Only this reservation changes. The property keeps its default.
The footer holds the one action that fits the contract's state:
- Send for signature when nothing has been sent yet.
- Pause and edit or Send reminder while the guest can sign.
- Resume signing while paused.
- Rebuild and publish when something changed while paused. The guest keeps seeing the old version until you do.
Reservation Details tab
Reservation lists the property, guest, reservation code, stay, nights, and party size. Tap Edit to change the guest's name, the reservation code, a door code, or the dates. Changing the reservation code changes the signing link. SignBreezy does not sync with the booking site, so nothing you enter here is overwritten later.
Guest pays shows the full breakdown, with a copy button on each figure. Edit lets you change the room subtotal, fees, and this contract's own tax lines, which were copied from the property when the contract was prepared.
Once the contract is signed, both cards are locked. The figures are what the guest agreed to.
Guest Details tab
Guest access shows whether the guest has verified a mobile number, the last four digits, and the identity status when the property requires ID. If a guest can no longer use the number on file, tap Reset guest phone verification. The old number stops opening the agreement, the guest is signed out everywhere, and the next person to open the link verifies a number of their own. Do this only when the guest has asked you and you know who they are.
Guest details lists the intake questions and the guest's answers. Required questions without an answer show Not provided, and the tab badge counts them. Edit lets you fill in or correct answers yourself. The same validation the guest sees applies to you.
Other adults appears once the guest has named other adults. Each has their own private link with Copy link, Text, and Email buttons, and shows whether they have signed and, if the property asks, their ID status. Depending on the property's settings they either sign the same agreement in their own fields, or sign a short acknowledgement without seeing the pricing.
Survey the guest fills in shows every question in the order the guest is asked, where each one comes from, and whether it is answered. Ask this guest something else adds questions for this reservation only. The template is untouched.
ID documents holds every ID on file, host-only, decrypted on demand, and never included in the guest's copy. Add ID uploads an image or PDF yourself, with an optional label.
Notes and files tab
Notes are timestamped notes for your own records. Supporting documents are files up to 25 MB each, such as a post-stay inspection. Neither is shown to the guest, and both are gathered into the all-attachments bundle.
Changing a contract after sending
What happens when you edit depends on the kind of template and whether anything is signed:
- PDF and SignBreezy editor templates. While nothing is signed, every edit rebuilds the document automatically. The guest sees the new version the next time they open the link, and any review acceptance they gave is cleared so they read it again.
- Google Docs templates. Each version is a real file in your Drive, so nothing rebuilds on its own. After an edit, an amber banner says the reservation changed and the guest is still seeing the old version. Tap Rebuild for guest to build a new version.
- Anything already signed. Nothing rebuilds. See the next section.
To make a larger change, tap Pause and edit. The guest is not notified. If they open the link while paused, they see that the contract is being worked on and cannot sign until you resume.
The Regenerate document page runs the whole sequence for you: pause, rebuild from the current or a different template, optionally ask the guest for new information, and resume. If it fails partway through, the contract may be left paused. Use Resume signing in the banner at the top of the contract page.
After signing
A signed contract is final. Its reservation details, pricing, and guest answers are locked.
Cancel contract keeps the signed copy, stores a second copy stamped CANCELLED with your reason, and marks the contract cancelled so you can rework it. The guest is not notified. You can Undo cancellation until the guest signs the replacement. The Regenerate page offers the same path when you need to redo a signed agreement with new dates or a new price.
Delete contract permanently removes the agreement, the signed PDF, the signature and its audit trail, every ID and file, the guest's answers, your notes, and every other adult's link. Type the reservation code to confirm. If the property's retention period has not run out, the page tells you the date it runs until. Check what your city requires first. That obligation is yours, and SignBreezy will not stop you. A Google Doc stays in your Drive.
The signed PDF
The signed agreement is the document with the guest's signature and date stamped in every place you marked, followed by an Audit Trail page. If you placed no signature field, the signature goes on a page of its own at the end.
The audit page records the document's title, file name, ID, and SHA-256 fingerprint, then the history: when the document was created and by whom, when the guest's phone was verified, when they opened it, when and from where they signed with the signature image, and completion. For a multi-signer document, each other adult's send and signature follows. Below that is the exact electronic-signature consent text the guest agreed to and its version.
The same audit details appear in the Audit record section at the bottom of the Document tab.
